Privacy Notice
This notice explains how Linosa Ltd handles personal data collected through Polysorbate.uk, in line with the UK GDPR and the Data Protection Act 2018.
Data controller

What we collect
When you complete a quote request or sample request form on this site we collect the information you provide, which typically includes: your name, company name, business email address, telephone number, delivery location, the polysorbate grade, pack size and volume you are enquiring about, and any free-text message. We also record the date and time of the submission.
We ask for business contact details only. Please do not submit special category data or information about individuals other than yourself.
Why we use it and our lawful basis
We use this information to respond to your enquiry, prepare and issue a written quotation, arrange samples, supply supporting documentation (SDS, TDS, CoA), and keep a record of commercial correspondence.
Our lawful basis is legitimate interests (Article 6(1)(f) UK GDPR) — namely responding to a business-to-business enquiry that you initiated and administering our trading relationship. Where an enquiry leads to an order, we also process data to take steps at your request prior to entering into a contract (Article 6(1)(b)), and to meet our legal and accounting obligations (Article 6(1)(c)).
Who has access
Submissions are emailed to our sales team and stored in our enquiry database. We use third-party providers for website hosting, database storage and email delivery, who act as processors on our instructions. We do not sell personal data or share it for marketing purposes.
Retention
Enquiries that do not lead to an order are retained for up to 24 months from last contact and then deleted. Where an enquiry results in a supply relationship, records are retained for the duration of that relationship and for six years afterwards to meet UK statutory accounting and product-liability requirements.
International transfers
Data is held within the UK or European Economic Area wherever possible. If a provider processes data outside that area, we rely on UK adequacy regulations or the International Data Transfer Addendum to the EU Standard Contractual Clauses.
Your rights
You have the right to be informed; to access a copy of your personal data; to have inaccurate data corrected; to request erasure; to restrict processing; to data portability; and to object to processing based on legitimate interests. You may also withdraw consent where processing is based on consent.
